Senior Administrator, Family Office

Exciting opportunity to deliver first-class admin service to varied client portfolio and to enhance client relationships. Duties involve reviewing CRM data and escalating amendments to maintain data integrity; liaising with clients; maintaining statutory books for own portfolio; overseeing client appropriate regulatory documentation (including where appropriate NRL returns and HMRC filings); supervising and coaching junior staff and monitoring workload; delegating and reviewing payment instructions; understanding requirements/process for payments for high risk clients; conducting reviews on own clients; analysing Work in Progress for own clients and preparing Billing Control Forms; sending and settling client invoices; managing aged debt; scheduling and preparing documents for meetings; attending and minuting meetings; drafting resolutions; overseeing checklists for draw downs, distribution, investment, client set up and Power of Attorney; preparing Client Acceptance and Risk Assessment for own clients; assisting with review of accounts/financial statements; requesting CDD documentation; providing team support with systems, team specific procedures and back up.
Requirements are a Table 5 qualification and willingness to obtain a Table 4 qualification; sound academics; 4 years relevant industry administration experience with at least 3 years’ experience in running own portfolio; experience of developing and coaching others on a one to one basis; experience of administering portfolios for UHNW private/family office clients and understanding their needs; working knowledge of MS Office; good knowledge of current local finance industry legislation, regulatory requirements & working practices and of basic client financial statements; manage conflicting and demanding deadlines and organise workload effectively; ability to perform in a high pressured/transactional environment; ability to delegate and coach; effective questioning style; flexible; team player; motivated; proactive; strong commitment to client service excellence.
Five years continuous residence in Jersey required.
